How I Used a Hermes AI Agent in Telegram to Handle Project Reminders and Daily Status

The Missed Deadline

Last month I missed a client deadline because a status update was buried in a Telegram thread. Not because we did not know the work. Because nobody had collected the status in one place.

Background

I run DevOps and project delivery at 1it.pro. We usually have four to six active client projects. Each project has its own Telegram chat, a few owners, and a shared spreadsheet that is always one day stale.

Problem

The problem was not communication. The problem was coordination overhead. I was manually asking for updates, copying task lists, sending reminders, and building daily summaries. If I skipped a day, blockers stayed hidden until a client asked for progress.

Why It Matters

That cost real time and trust. A missed reminder turned into a late deployment. A missing status turned into a surprise invoice issue. The team did not need another heavy project management tool. They would not use it. We already had Telegram open all day.

Solution

I installed Hermes through AgentForge on a small VPS. I used Docker Compose, configured the agent in the web UI, and connected it to our project Telegram chats. The agent runs as a normal Telegram bot. It does not need a new dashboard for daily work.

I configured four routines:

  • Send task reminders at 9:30 and 16:00 for open items.
  • Ask each project owner for a one-line status update every morning.
  • Collect replies and post a daily summary at 18:00.
  • Flag blockers and unanswered requests to me directly.

The agent uses the task list I configured per project. It tracks owners and due dates from those entries. I still keep the spreadsheet as an archive, but the daily coordination moved into the chat.

The useful part was not having a smarter chatbot. It was giving the agent a narrow job inside the tool my team already uses.

Result

After two weeks, the daily status meeting dropped from 30 minutes to 10. I stopped asking for updates manually. The 18:00 summary now lists completed tasks, open tasks, blockers, and tomorrow's priorities. Missed reminders are visible before they become missed deadlines. The team did not adopt another heavy tool. They just replied to a Telegram bot.
